Creating and scheduling reports

The reporting view is the where the scheduled reporting for your followed services is configured. You can have any number of report schedules, each producing one report according to it's configured scheduling period (week, month or year). The reports scheduled for the weekly cycle are run on each week on Monday, monthly reports on the first day each month, and the yearly reports on the second day of each year.

Creating new reporting schedules

To create a new reporting schedule click the "New schedule" button below the Scheduled reporting table. You must then select a name for the report, the contents and the type of report (graphs or a spreadsheet), and the services you want to include in it. Finally you can type in one or more email addresses to send the reports as soon as they are created. If you prefer not the get the some or all reports in your email inbox, you can leave the email field empty. All generated reports will always be available in the Report archive list on the left
side the Reports view.

To save the new schedule, press the "Save" button at the bottom of the form. Note that the Name field is mandatory: a schedule cannot be saved if it's left empty. This is because the name is used to distinguish the different reporting schedules and the reports they generate from each other. Also make sure that the "Schedule active" checkbox is checked, so that the reports for the schedule are created. After pressing the "Save" button, the new schedule appears in the Reporting schedules table. Note that if there are many schedules, the new
schedule might not appear in the first page of the table.

Temporarily deactivating reporting schedules

Sometimes you may want to temporarily skip creating of certain reports. To Deactivate a reporting schedule like this, you select the schedule for the table and uncheck the "Schedule active" checkbox. The change is automatically saved, and this schedule will be skipped until you make the schedule active again.

If you just don't want to receive these reports in your email, you can remove the email addresses for the schedule settings. Re-activating a schedule includes it in the next weekly, monthly or yearly reporting cycle. To run any report at any time (on-demand reporting), click the "Run this report now" button at the bottom of the report schedule settings form.

To generate any of the skipped reports afterwards, select the schedule and click "Run this report now" button. It will open a dialog where you can select the end time for the report. Note: some of the yearly reports have a fixed time period (like a specific year). You cannot change the time for these reports.

Changing the reporting period and included services

All settings for saved report schedules can be changed at any time. To modify the settings, like reporting period or the services to include, select the row from the Scheduled reporting table and make the required changes in the form below the table. Any changes are automatically saved, and the new values are used in the next generated report.

Running reports on-demand

In addition to the automatic reporting schedules, each report can be generated on-demand at any time. To generate a report immediately, select the reporting schedule from the table and press the "Run this report now" button at the bottom of the form. The report generation starts immediately, the new report appears in the Report archive table. When the progress spinner for the new report disappears, the report can be downloaded like any report generated in the normal reporting cycle.

Downloading previously created reports

You can find and download any reports generated for your organisation using the Report archive table. Select the report you want to download, select the report language, and for the graphical reports the page orientation, and click the "Download" button.
